Continuing Education Tracking and Reminders

A dashboard that tells you which producers are at risk of missing their CE deadline, reminders that go out on their own, and a self-service view that tells producers exactly what their state wants.

Continuing education is a renewal problem wearing a different hat. A producer misses their hours, the license doesn't renew, and you find out at the worst possible moment. InsureTrek now tracks CE end to end.

The dashboard tells you who to worry about

The CE dashboard sorts your producers into three buckets against their due date: At Risk, Unconfirmed, and On Track. That's the whole question a licensing admin has — not how many hours everyone has done, but who is going to miss.

Each row carries the producer's resident state, their CE due date and how long until it, their current status, and when they were last reminded. Filter to At Risk and you have your afternoon. A producer whose resident license was declined shows that way too, since their CE deadline stops being the real problem at that point.

You can send a reminder to anyone on the list without leaving it, and the Last Reminder column stops you from nudging the same person three times in a week.

Each producer's record shows what their state actually wants

Open a producer and you get their state's requirement spelled out: total hours, how many must be ethics, and the length of the cycle. Every state words this differently, and it's the question producers ask most.

When someone finishes their hours, mark it complete and attach the certificate. The document lives on the record, so the proof and the claim sit together rather than the certificate living in an email. An activity timeline records what happened and who did it — marked complete, nudge sent, document uploaded — which is the answer when someone asks in March why a license lapsed in January.

It also lists CE providers with what they offer — ethics or general credit, online or instructor-led, roughly what they cost — and links out to the state's own course list and requirements page. Most of the back-and-forth in CE is a producer asking what they need and where to get it. This answers both without a phone call.

Reminders go out on their own

As a deadline approaches, producers get an email. You don't schedule it and you don't remember to send it. Combined with the manual nudge on the dashboard, CE moves from something a licensing admin chases to something the system chases, and you get involved only when someone isn't responding.

One thing worth being clear about: InsureTrek doesn't count hours as a producer completes them. No state reports partial CE progress in a way we could read, so a number claiming to know would be made up. What InsureTrek tracks is the deadline, the requirement, whether it's been confirmed done, and the evidence — which is what determines whether a license renews.
